EVENTS DIRECTOR

Job Title: Events Director
Department: Strategic Communications and Events
Reports To: Vice President, Strategic Communications and Events

POSITION OVERVIEW:

The Events Director oversees the overall Events operations, including the management of its budget, hiring and supervision of staff. Oversees and directs the Hispanic Heritage Month (HHM), Public Policy Conference, Gala, and all other related events. In addition, oversees and directs regional activities, annual Fiesta de Golf Tournament, and all other special event activities scheduled throughout the year. Director is responsible for fundraising and sponsor relationships.

DUTIES AND RESPONSIBILITIES:

  •  Responsible for fundraising in coordination with the Vice President.
  •  Responsible for maintaining CHCI’s external relationships with CHCI’s corporate partners, non-profit leaders, Congressional Members, and CHCI Board members participating in CHCI’s events throughout the year.
  •  Responsible for researching, developing, contract negotiation, planning and executing CHCI’s fundraising, and program activities which include CHCI’s HHM events, annual golf tournament, and regional activities through out the year as well as activities that come up as assigned.
  •  Responsible for all required communications including website updates both internally and externally working in coordination with the Communications Department and the Executive Office.
  •  Coordinates with Communications Director the production of all event programs, fundraising collateral and marketing related correspondence.
  •  Provides input for the department’s annual budget in coordination with the Vice-President; monitors budget compliance and suggests revisions when necessary.
  •  Manages the RFP process and selection of vendors.
  •  Supervises and manages the Event Manager; conducts periodic reviews and recommends personnel actions to the Vice President.
  •  Responsible for streamlining and recommendation of new processes to improve quality, cost reduction, and enhance on-time delivery.
  •  Performs other duties as assigned.

QUALIFICATIONS AND REQUIREMENTS:

Minimum Education:

  •  Bachelor’s degree required or equivalent professional experience
  •  Minimum of 10 years in event management
  •  Proficiency in Microsoft Office Suite, File Maker Pro, and/or other event planning software.
  •  Bilingual (English- Spanish) preferred

EVENTS MANAGER

Job Title: Events Manager
Department: Strategic Communications and Events
Reports To: Events Director

POSITION OVERVIEW:

The Events Manager works closely with the Events Director to manage and coordinate organization’s fundraising and program events, including: Hispanic Heritage Month (HHM), Public Policy Conference, Gala, and all other related events. In addition, manages regional activities, annual Fiesta de Golf Tournament, and all other special event activities scheduled throughout the year. Events Manager is also responsible for managing corporate relations.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Responsible for solicitation of in-kind contributions both items and services; fundraising activities to lower level sponsors.
  • Manages all sponsorship agreements for specific events to ensure satisfaction of partners; in coordination with Finance Department maintains accurate donor records and proper invoicing.
  •  Manages site selection, contract negotiation and all logistical requirements including but not limited to travel arrangements, menu selection, collateral requirements, list of attendees/registrants, revenue and income of all regional events and other as assigned.
  •  In coordination with Communications Department handles marketing for event mailings.
  • Manage and maintain a complete organizational schedule of events including website updates to the schedule as required.
  •  In coordination with the Events Director, manages all logistical aspects of key annual events including CHCI’s HHM events, annual golf tournament, as well as additional activities assigned.
  •  Responsible for streamlining and recommendation of new processes to improve quality, cost reduction, and enhance on-time delivery.
  •  Responsible for on-site trouble-shooting for major CHCI events.
  •  Other duties as assigned.

HUMAN RESOURCES MANAGER

POSITION OVERVIEW:
The HR Manager is responsible for handling and overseeing a range of administrative functions related to human resource management, employee development.

PRIMARY DUTIES AND RESPONSIBILITIES:

DUTIES AND RESPONSIBILITIES:
Implement and maintain all of the following employee programs: recruitment, employment processing, benefit enrollment, performance reviews and employee recognition programs.

PAYROLL

  • Handles all staff and programs participant payroll activities and reports.
  • Works with the payroll vendor to ensure the proper and timely payment of personnel.
  • Maintain employee and programs participant personnel files and ensures files include all federal and local tax documentation required.
  • Maintain records of all employees’ vacation, sick and compensatory time earned and taken.

POLICIES, PROCEDURES & ORGANIZATIONAL STRUCTURE

  • Works with the COO & CFO to establish office policy and procedures which are documented in the Employee Handbook.
  • Periodically review policies and procedures to ensure accuracy and compliance with federal standards. May work with legal counsel to update policies when necessary.
  • Prepares and maintains handbook on HR policies and procedures.
  • Post federal and state employment laws in visible areas for the employees and updates them yearly or when laws change.
  • Rewrite job descriptions as necessary.
  • Maintain company organization charts and employee directory.

BENEFITS AND COMPENSATION

  • Works with COO & CFO to review and administer employees’ benefits including health, life insurance, STD/LTD insurance, flexible spending accounts and 401K.
  • Conduct annual benefit and salary surveys.
  • Analyze compensation levels and annually make recommendations based on performance review results.

RECRUITING

  • Write and place job posting announcements.
  • Conduct recruitment effort for all exempt and nonexempt personnel, students, unpaid interns and temporary employees.
  • Conduct new-employee orientations.
  • Run background checks and verifies employment references for potential new hires.

EMPLOYEE DEVELOPMENT

  • Monitors performance evaluation program (three months, six months and annual reviews).
  • Periodically surveys employees and Department heads about training needs, organization’s culture and management relations.
  • Reports survey’s finding to COO.
  • Coordinates trainings based on jobs’ incumbent developmental goals and needs.

EMPLOYEE RELATIONS AND ADMINISTRATION

  • Establishes and maintains department records and reports.
  • Conducts employee relations counseling, and exit interviews.
  • Evaluates reports, decisions, and results of department in relation to established goals.
  • Recommends new approaches, policies, and procedures to effect continual improvements in efficiency of department and services performed.
  • As needed, under guidance from COO & CFO, reports to Board and HR Committee.

BUILDING

  • Monitors card keys access to the building.
  • Performs other incidental and related duties as required and assigned.

EDUCATION AND WORK EXPERIENCE:

Minimum Education:

  • Bachelor’s degree with a background in Human Resources.
  • At least 5 years of experience in the HR field.
  • Strong knowledge of Microsoft Office Suite software (Word, Excel, PowerPoint, Outlook).
  • Bilingual – English / Spanish required.
  • Professional in Human Resources (PHR) certification preferred.

Analytical/Interpersonal Skills:

  • Excellent logistical and organizational skills required.
  • Good verbal and written communication skills.
  • Strong team player; works well under pressure handling multiple tasks at one time
  • Must be able to maintain the highest level of confidentiality. Ability to handle sensitive material concerning the organization and the finance's role within the organization.
  • Must be able to handle multiple tasks simultaneously.
  • Must be a self-starter and independent-minded who understands the need for detail.
  • Must be creative and flexible in order to respond quickly and positively to shifting demands and opportunities.
  • Must be flexible with time both during and after work hours.
  • Must be committed and determined.

Physical Demands:

  • Work performed in an office environment.
  • Required to sit for long periods of time.
  • Infrequent light physical effort required.
  • Ability to work effectively using program management and other tools on a personal computer for long periods of time.
  • Infrequent travel to events out of town.

The Congressional Hispanic Caucus Institute (CHCI) is a national non-profit and non-partisan Hispanic educational organization whose mission is to develop the next generation of Latino Leaders. Internship Descriptions

Intern - Office of the President & CEO
Help manage correspondence, scheduling and travel arrangements as well as managing administrative support as needed. Excellent communication and organizational skills are necessary; interaction with corporate executives, Members of Congress, their support staff, and various high-level government officials. The position will also produce various reports, meeting content materials, and provide logistical and administrative support to fundraising efforts.

Intern - Office of the Chief Operating Officer
Provide support on matters related to resource development, strategic planning and board governance. The position will also provide support for programmatic related functions.

Intern - Strategic Alliances and Events Department
Provide logistical support during CHCI’s annual events such as the Public Policy Conference, Reyes of Comedy Night, and Gala. The CHCI Gala is the largest Annual Latino Event in Washington, D.C., therefore great attention to detail and excellent organizational and time management skills are required. Help create themes for events, design stages and floor plans, and draft event programs. Help confirm talent for keynote speakers, Gala award recipients, and Comedy night performers. Provide support with Regional fundraising events throughout the U.S. and make travel arrangements for invitees.

Intern - Human Resources Department
Provide support to the HR Manager. Help set up new HR information systems and update personnel files. Provide support with the restructuring process and rewrite job descriptions, employee handbook, and benefit orientation packets. Provide support with payroll and Benefit Administration. Help with employee survey and benchmarking process.

Intern - Communications and Marketing Department
Help draft, pitch and edit Press Releases and Media Advisories for CHCI programs, and events. Draft articles for CHCI Newsletter and other marketing collateral, as needed. Compose and maintain press lists and provide support for media at events as assigned. Edit new and existing marketing collateral for sponsorship and program outreach. Organize press packets for events. Help maintain CHCI’s Web site. Prepare and distribute daily clips for CHCI staff on Hispanic education, statistics, sponsors, competitors and other relevant topics. Catalog all media coverage.

Requirements

  • College Graduated or pursuing a college degree.
  • Strong computer literacy is necessary
  • Work a minimum of 30hrs/week
  • Must multi-task and work well under pressure
  • Excellent logistical and organizational skills required
  • Excellent verbal and written communication skills
  • A professional appearance and telephone manner is essential.
  • Strong team player; works well under pressure

  • Need to be independent and a self-starter Bilingual skills (Spanish-English) a plus
  • If participating in a school internship program, requirements for that program must be submitted

Perks
The Congressional Hispanic Caucus Institute has a separate Public Policy Fellowship Program that runs from September through May and a Summer Internship Program from June through August. These are nationally-recognized programs offered to the best and brightest Latino youth from around the country.
